In this job, you’ll provide high-impact administrative partnership to senior leaders by proactively managing complex schedules, communications, travel, reporting, vendor coordination, expenses, confidential information, and day-to-day operational priorities—enabling leaders and teams to stay organized, responsive, and focused on delivering business results.

 

Additionally, you will:

  • Handle confidential and sensitive calls, files, documents, and reports.
  • Provide backup support for department Executive Administrative Assistants and peer Senior Administrative Assistants, as needed.

Responsibilities

  • Performs a variety of administrative duties to support assigned leader, including managing the calendar and scheduling appointments, meetings, and conferences while prioritizing conflicting demands.
  • Serves as primary point of contact for internal and external stakeholders, relaying messages, and facilitating communication.
  • Arranges travel itineraries, including booking flights, accommodations, transportation, and visas.
  • Prepares various templated weekly/monthly/quarterly reports for assigned leader and performs basic research as requested.
  • Drafts documents and presentations of documents and presentations on behalf of the leader.
  • Interfaces with suppliers and vendors regarding requests for quotes, purchase orders and invoicing.
  • Files and manages expense reports, ensuring timely submission and accurate documentation of expenses incurred. Includes tracking reimbursement status and resolving any discrepancies or issues.
  • Organizes and maintains files, records, and databases, ensuring confidentiality of sensitive information. Supports the assigned leader with various ad-hoc tasks and projects as needed.
  • A material job duty of all positions within the Company is ensuring the protection of all its physical, financial and cybersecurity assets, and properly accessing and managing private customer data, proprietary information, confidential medical records, and other types of highly sensitive information and data with the highest standards of conduct and integrity.

Minimum Qualifications

  • Two or more years of experience performing advanced administrative, secretarial, and clerical functions.

 

Preferred Qualifications

  • Two or more years of experience supporting four or more senior leaders or managers simultaneously.
  • Two or more years of experience managing leadership calendars, including coordinating, scheduling, and planning meetings, appointments, and conferences using Microsoft Teams and/or Outlook. 
  • Two or more years of experience working with Microsoft Office 365 applications (Outlook, Excel, Word, Teams, Sharepoint, PowerPoint, Power BI, etc.).
  • Two or more years of experience utilizing SAP or similar applications to create and process purchase requests, expense reports, timekeeping data, miscellaneous invoices, etc.
  • Experience performing proactive planning, organizing, and prioritizing multiple assignments, and daily tasks.
  • Experience researching, coordinating, and finalizing complex assignments.
  • Ability to exercise discretion and good judgement in handling confidential and sensitive telephone calls, files, documents and reports. 
  • Ability to interact with Edison Executives and their respective Admin support, as well as, all levels of personnel, excellent oral and written communication skills, including accurate typing and spelling and thorough knowledge of grammar, sentence structure, and punctuation.
  • Two or more years of experience working well under time constraints with ability to self-manage priorities while maintaining attention to detail and producing high-quality work with minimal supervision.

 

 

Additional Information 

  • This position’s work mode is hybrid. The employee will report to an SCE facility for a set number of days with the option to work remotely on the remaining days.  Unless otherwise noted, employees are required to work and reside in the state of California.  Further details of this work mode will be discussed at the interview stage. The work mode can be changed based on business needs.

  • This position requires testing and applicants who are identified to continue through the selection process will be invited to test via email. Reference our Information Guides for the following tests: EEI BCAB (#5206).  Candidates who have previously passed these assessment(s), in some cases, may not need to retest again for this position.
