Responsibilities

  • Performs a variety of administrative duties to support assigned leader, including managing the calendar and scheduling appointments, meetings, and conferences while prioritizing conflicting demands.
  • Serves as primary point of contact for internal and external stakeholders, relaying messages, and facilitating communication.
  • Arranges travel itineraries, including booking flights, accommodations, transportation, and visas.
  • Prepares various templated weekly/monthly/quarterly reports for assigned leader and performs basic research as requested.
  • Drafts documents and presentations of documents and presentations on behalf of the leader.
  • Interfaces with suppliers and vendors regarding requests for quotes, purchase orders and invoicing.
  • Files and manages expense reports, ensuring timely submission and accurate documentation of expenses incurred. Includes tracking reimbursement status and resolving any discrepancies or issues.
  • Organizes and maintains files, records, and databases, ensuring confidentiality of sensitive information. Supports the assigned leader with various ad-hoc tasks and projects as needed.
  • A material job duty of all positions within the Company is ensuring the protection of all its physical, financial and cybersecurity assets, and properly accessing and managing private customer data, proprietary information, confidential medical records, and other types of highly sensitive information and data with the highest standards of conduct and integrity.

Minimum Qualifications

  • Two or more years of experience performing advanced administrative, secretarial, and clerical functions.

Preferred Qualifications

 

    • Experience supporting legal teams, including litigation and/or regulatory environments 
    • Knowledge of records management practices, retention policies, and file lifecycle processes
    • Experience managing high-volume physical and electronic documents, including scanning, quality checks, and uploads 
    • Experience supporting document production and reproduction, including copying and mixed media requests
    • Familiarity with legal systems such as TeamConnect, SharePoint, or similar document management tools 
    • Ability to manage competing priorities and work independently on complex or sensitive assignments
    • Strong organizational skills with experience tracking, inventorying, and auditing records/files
    • Experience supporting trial preparation, document production, or litigation workflows
    • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and general office technology

 

Additional Information 

 

  • This position’s work mode is on-site. The employee will report to an SCE facility or in the field location.  Further details of this work mode will be discussed at the interview stage. The work mode can be changed based on business needs.
